Position reports to: Pastor

Salary: $35,000 - $45,000 per year

Employment status: Full-Time/Nonexempt

Work Days: Monday – Friday

Benefits: Paid Time Off

Position Overview

The Executive Assistant is responsible for the on-site management of daily business activities of Mt. Moriah Baptist Church to include building relationships with people within the church, vendors, and others that interact with the church; human resources management; facilities management and operational oversight of all church ministries. The person is this position works with the Pastor and church leadership to actively support the mission, core values and ministries of Mt. Moriah Baptist Church

Principal Accountabilities

Daily Operations

  • Communicate and build relationships with members, attenders and volunteers
  • Manage church phone calls and in-person visitors
  • Maintain a professional work environment and attire
  • Fulfill Senior Pastor’s clerical needs with confidentiality and great attention to detail
  • Manage pastor’s appointments and calendar
  • Manage church calendar
  • Prepare church bulletins, flyers, communications as needed under the pastor’s direction
  • Obtain, process and distribute church mail daily
  • Answer correspondence inclusive of e-mails, letters, & fax
  • Process application and validation of benevolent requests
  • Ordering/receiving office supplies
  • Keep church signage and marquee updated
  • Using software applications to implement and maintain church management database, church records, reports and financials
  • Takes responsibility for, and adheres to, departmental budget
  • Other additional duties as assigned by Pastor

Human Resources

  • Supervise and manage church office
  • Manage new employee onboarding process and maintain staff/employee files
  • Maintain Personnel Manual
  • Process and track staff & volunteer background checks per policy requirements
  • Assist with creation and amending of staff policies and procedures
  • Assist with formation and documentation of standard operating procedure

Facilities (works with Trustees)

  • Schedule use of all church facility areas
  • Coordinate with church event setup teams (tables/chairs, sound system, etc.)
  • Assist Ministry leaders with acquiring church resources (vehicles, media equipment


  • Provide operational oversight to church ministries, missions and outreach as directed
  • Ensure all ministry events follow identified planning timetables and protocols
  • Serve as liaison between pastor and ministry leaders, media, IT and other contractors
  • Oversee “Kids Club” summer camp residency at MMBC

Systems Innovation

  • Identify potential issues with current policies
  • Create solution proposals to improve church operations and ministry function

Secondary Accountabilities

Performs other duties as assigned by the pastor.

Job Skills Required

  • 3-5 years of experience in staff, program and facilities management with a proven track record of excellence
  • Strong servant leader called to ministry with the ability to collaborate with pastor(s), leadership, staff, congregants and volunteers
  • Ability to mentor, lead, develop and support staff and volunteers
  • Ability to problem-solve quickly and efficiently
  • Strong organizational skills with a personal attention to detail
  • Excellent computer skills with the ability to implement and use new software
  • Ability to work with minimal supervision
  • Familiarity with Canva, Realm, Microsoft Suite, Google Suite (preferred)


Educational Requirements

Bachelor’s Degree in Business Management, Organizational Leadership, HR Generalist or related field.
